Creating or deleting a folder in Google Drive is quick and easy. The files can then be edited by several users simultaneously and are updated in real time. We give you step-by-step instructions here.

  • Go to the Google Drive homepage and click on the red “Create” button.
  • Then click on “Folder” and enter a name. You can also use “Create” to add new documents or presentations, for example.
  • The new folder will be created in the folder where you are currently located. So you can easily add numerous subfolders.

  • Even deleting a folder is no problem with Google Drive:
  • Select a folder by placing a check mark in the box to the left of the folder.
  • Now click on the trash can in the top toolbar and your folder will be deleted.
  • You can also select multiple folders and delete them at once.

There are many free alternatives for Microsoft Office, but in recent years, Google Docs in particular has become very popular as a word processor. In the following we will explain what features Google Docs offers and what you have to pay attention to. We will also discuss the advantages and disadvantages and, among other things, privacy.

What is Google Docs?

Google Docs is part of the Google Office package and is the word editor. Besides Google Docs there are Google Sheets (spreadsheet), Google Slides (presentation), Google Forms (online forms) and a few smaller applications. It is a software-as-a-service, which is used via the browser and does not require any installation on the own computer. This means that the data is not stored locally, but in the cloud at Google. Google Docs runs on all modern browsers.

For Chrome, Google Docs is also available as an add-on and can therefore also be used offline, which is a great advantage for everyone who wants to work with it on the road, for example.

Google Docs is now a full-fledged word processor that is hardly inferior to desktop solutions. With various editing and design tools, documents can be designed and formatted in many different ways. Among other things, one can insert links, pictures and drawings.

Of course, the user interface reminds of well-known programs and offers direct access to the most important functions. Also interesting is the automatic saving, which even has a change log, so that one can exactly trace what was changed and when.

Another advantage of such an online tool is that several users can work on a document at the same time and you can see who has changed what. There is also the possibility to chat and leave comments.

And you also have access to a research tool directly in Docs, which you can use to search for information and data in your own documents and the Google search.

There are still many who use desktop software like Microsoft Word or Libre Office. But this is (almost) no problem with Google Docs. You can import different formats into Docs, even if the results are not always perfect. With more unusual designs, the importer sometimes has problems, so that the imported document may look a little different from the original. But in most cases we had no problems with this.

Google Docs also allows the export to various formats, which makes communication with others easier, although it is of course easier if everyone uses Google Docs.

Extend Google Docs

The range of functions is already good by default, so that you have the most used functions available. If you need more special functions, you can find a lot of addons in the official directory. For example, with the addon “Translate” you can automatically translate whole documents, even if the quality of the translation is still not outstanding.

With the addon “Table of Contents” you can have automatic tables of contents created, which is also very interesting. Furthermore there are addons for charts, mind maps, special tables and much more. In the official directory there are a lot of addons, but mainly in english.

Data security

One question that always arises when using Google Services is that of data security or data protection. We have dealt with this topic some time ago and a lot has happened since then.

Basically, when you use such an online service, you put your data in the hands of third parties. Of course these are not generally safer on your home computer (hacks, viruses, ransomware …), but at least you have full control over your data.

If you use Google Docs or any other Google service, you have to trust in the security and privacy of Google. There have long been concerns about US cloud services from data privacy advocates, and Google Docs was no different. But at least Google is one of the most accommodating companies yet. For example, Google itself states that the G Suite, of which Google Docs is a part, complies with EU privacy requirements and the recommendations of the Article 29 Working Party on Data Protection.

For a layperson, however, it is still not possible to see through one hundred percent what exactly is and what is not allowed. Therefore we would not not advise to manage/store customer data with Google Docs and Co.

And often data leaks are happening, like for example at Microsoft, where the search function of has revealed all kinds of sensitive data, shows that there are still risks here. This should be taken into consideration when choosing such a tool.

The G Suite

Google Docs is part of the G Suite. Google uses this somewhat strange name to describe the collection of various online tools that can be used for business purposes and are interlinked with each other. In addition to GMail and the Google Office tools mentioned above, you get a calendar, video conferences, your own email, 30 GB cloud storage and more. The suite also offers additional security settings.

However, the G Suite is subject to a fee, whereby the 4 Dollars (basic rate) per user and month is really not the world. For this you get a complete office package, a lot of online storage and much more.
